Job Description

This is a patient-centric role focused on creating extraordinary experiences and building lasting relationships. The Front Office Coordinator / Assistant Manager is the face of our practice and represents the values of our brand, ensuring every patient interaction is warm, professional, and memorable.

Key Responsibilities Include:

• Drive business growth by reaching out to leads and scheduling consultations and treatments
• Create social media posts, videos, and email blasts aligned with the marketing calendar
• Support RNs, Injectors, CoolSculpting specialists, Medical Aestheticians, and Owners to ensure smooth operations
• Manage scheduling to maintain high appointment utilization
• Check patients in and out with accurate payments
• Answer phones, schedule appointments, confirm visits, and conduct follow-up outreach
• Follow up consistently with new patient inquiries
• Create, organize, and maintain electronic files
• Solve problems creatively while ensuring compliance with AOB standards
• Greet patients warmly and communicate clearly and professionally
• Disseminate important information to the team and management
• Perform opening and closing duties and daily close-out reporting
• Provide administrative support to Managers and Owners
• Maintain knowledge of policies, procedures, treatments, pricing, and promotions
• Assist with monthly inventory
• Maintain a professional, polished appearance

Required Skills & Experience

• REQUIRED: Experience with Zenoti EMR Software
• REQUIRED: 2+ years management experience in a luxury medical spa environment
• Strong leadership, communication, and interpersonal skills
• Exceptional high-end customer service experience
• Proven sales success with high phone conversion rates
• Detail-oriented with strong math and problem-solving skills
• Highly IT-savvy (Mac, Excel, reporting tools, Windows Suite)
• Organized with excellent time management and multitasking skills
• Knowledge of medical aesthetic services and product lines
• Fast learner with a strong desire to grow
• Positive, fun personality—laughter is encouraged and celebrated

Position Details

• Job Type: Full-time or Part-time
• Pay: $35–$38 per hour (based on experience)
