Job Description:

Patient centric position, focused on making our patient’s feel their best and giving them the confidence they need to live their best lives. The Assistant Manager/Front Office Coordinator is responsible for being the face of our practice and representing the values of our brand, making each and every patient experience extraordinary. Creating a phenomenal first impression for our new clients and a warm and welcoming experience for our existing clients, so all our patients are excited to return. This position is responsible for supporting our providers, our employees are our first clients and teamwork is the backbone of our success. Daily responsibilities include but are not limited to the following:

• Drive business growth through reaching out to our leads and scheduling them for consults/treatments
• Social Media-creation of posts, videos, and email blasts that align with social media calendar objectives
• Support RN’s, Injectors, CoolSculpters, and Medical Aestheticians to ensure office runs smoothly and effectively
• Consistently manage schedule to ensure appointments are booked properly
• Check In/Check Out all patients with accurate payments
• Answer phones and schedule patients, including making confirmations, outreach, and follow up calls
• Consistently follows up with new patient inquiries
• Creates, organizes, and maintains paper and electronic files. Prepares all providers charts for the day and filing at end of day
• Uses creative management skills to solve problems. Ensures compliance with AOB standards to ensure consistent, high-quality patient relations.
• Greets customers immediately with a friendly and sincere welcome, uses a positive and clear speaking voice, listens to and understands requests, issues, and situations from both guests and team members.
• Communicates effectively and consistently, ensuring all important information is disseminated to the team and Owner/Managers, and delegates appropriately
• Perform all opening and closing duties with accuracy, including accurate review of Close Out Reporting each day
• Administrative support to Managers and Owners
• Exhibit knowledge of all policies, procedures, treatments, packages, pricing, essential paperwork, and special promotions
• Assist with monthly Inventory
• Presents in a professional, groomed, and well-dressed manner
• Assists Director of Business Development in any needed projects/tasks

Required Skills and Experience:

• ***REQUIRED***: Luxury Medical Spa Industry Experience (1-2 years minimum). Please do not apply without high end Med Spa Experience.
• Leadership Skills: Highly motivated self-starter with pleasant and positive personality, excellent interpersonal communication, and a go getter
• Skillful in exceptional high-end customer service
• Sales: Successful sales experience with high conversion rates with phone sales
• Detail oriented problem solver with excellent math skills
• Must be IT savvy, proficient with MAC and Microsoft Windows Suite
• Organized, exhibit expert time management skills, and able to accurately multi-task in a busy environment
• Knowledgeable or we will train the right candidate on our product lines and medical aesthetic services
• Desire to grow rapidly and must be a quick and flexible learner

Details:

Job Type: Full-time

Pay: $26.00 or higher per hour based on experience
